Why a clear approval flow matters
A customer receives a quote by email, replies via WhatsApp with 'looks good', calls later about a change and expects the job to already be in the schedule. For small jobs that may seem workable, but as soon as scope, price or schedule changes, confusion arises. Digital quote approval makes the process unambiguous: the customer views one recognisable version, accepts the terms and gives demonstrable approval.

What must be clear before the approve button
A digital button does not fix an unclear quote. Ensure the customer can see at minimum: company and customer details; a clear description of work; price breakdown or fixed total; VAT and any advance payment; what is and is not included; schedule or indicative lead time; quote validity period; applicable terms and warranty agreements; process for extra work or changes.
The ideal digital acceptance flow
The installer reviews and sends the final quote version. The customer receives a secure link via email or WhatsApp. The customer views the full quote and any attachments. Before approving, the customer confirms the terms or required choices. The system records version, date, time and contact details used. Both parties receive confirmation and a copy. Status changes to 'approved' and the next step is triggered.

Digital signature or simple acceptance?

Let the legal requirements fit your type of work and customer. Never silently amend an already-approved quote — create a new version or formal change order and get fresh approval for material changes.
